Sunday, June 16

  1. Unlock the Door to Remain Unlocked During Business Hours
  Use key connected to bunch of flowers hanging on the hook next to the printer behind receptionist desk.

1. insert key into lock
2. push in latch
3. turn key clockwise until stops
4. release latch
5. turn key 1/2 turn counter-clockwise.
  2. Take Sandwich Board Outside
  3. Turn On All Lights
  1. Main Ballroom Lights (6 knobs by front door)
2. Lobby Lights (3 switches by front door)
3. Bathroom Lights (2 bathrooms - inside each bathroom)
4. Dance Store (Right most switch outside of women's bathroom)
  4. Turn on Open Sign
  Located in front window. Pull on string on back of neon sign to turn on.
  5. Turn on TVs
  TV: Power button is located on the bottom left hand side of the TV.

Remote for the TV is at the frontdesk.

3 TVs are located:

1. behind the frontdesk - use the black fire stick remote

2. by the bar/men’s restroom - start iPhone screen.cloud app to turn on video and click on Launch button

3. mezzanine - video auto starts when the tv is turned on

  5.5 Turn on main ballroom twinkle lights
  Controlled by white remote at front desk.
Press “All On” button on the bottom left side of the remote.
  6. Remove Security Bar from the Back Door
  6.5 Check the Basement
  Check the basement for flooding and also bring any items that are stored in the basement bring them down and put them away in their proper spot.
  7. Turn on Ceiling Fans
  Located in janitor's closet.
Turn known counter clockwise.
  8. Prepare Change
  1. Get change and keys from lower safe in office (Ask Eric or Eileen for combination if you don't know it)

2. Bring up the "Cash Tracker" document from the Notes application on the computer.

3. Count the bills and change and enter amount of them into the tracker.
  9. Check Voicemail
  Two ways:
A. Dial 651-699-5910 from a studio phone
B. Check email. All voicemails get sent to email.
  10. Confirm Lessons for Next Day
  1. Log into MindBody and view the appointment calendar

2. Click on each private lesson, private group, coaching and meeting appointments for the next day (If the next day is a holiday, look at the next day the ballroom is open).

3. Call the number listed at the top of the appointment window, hover over the little calendar icon to see all their appointments for the day and confirm the call as follows: "Hi, this is your name from Cinema Ballroom. I am calling to confirm your lesson tomorrow (or next Monday) month date at time o'clock with instructors first name. We look forward to seeing you then!"

If student is also scheduled for a coaching or more than one private lesson, make sure to list each of them.

4. Click on the "Mark Confirmed" checkbox in the window that pops up when you cilck on the appointment.

5. Add notes to the appointment if you were not able to speak to them in person.

- If you left a voicemail, put in the notes "lvm your initials"

- Otherwise put in the notes what happened or why you could not confirm and end with your intiials

- Add the date of the note if it is not for the immediate day before

  24. Check and Reply to E-Mail
  Use the CB Manager to reply to e-mails. To access:
1. Open CB Manager (double click)
2. Choose "Documentation"
3. Choose "E-mail Responses"
5. Choose "Dance"
  26.5 Send out invoices/Send 2nd notification for unpaid invoices
  -Look at account balances in reports
-Create and send invoices to students for unpaid services
  27. Check Week's Schedules
  Check the week's schedules for all instructors. Make sure group classes are covered, instructors and any visiting coaches have breaks, etc. Note any problems; contact owners/instructors/desk manager to fix issues.

  51. Turn Off Space Heater
  Turn off the heater behind the frontdesk
  52. Straighten Tables and Chairs
  Straighten tables - line them up so they are in two straight lines
Straighten chairs - place 4 chairs per table in a "X"
Clean - throw away trash, empty water and soda bottles, used silverware, plates and cups. Collect pens and put back at front desk.
All remaining personal belongings should be put in the lost and found
  53. Change Daily Voicemail--Give Next Day's Events
  1. Open the CB Manager. Select Docmentation > Frontdesk Manual. Scroll to Appendix B (End of Document). Find the entry corresponding to the next day the ballroom is open (1st Monday of the Month, etc.)

2. Copy and paste the message

3. Login to office.ooma.com site

4. Click on Receptionist

5. Click on the "3" button

6. Paste the message

7. Change the following info in the message:
-Day and date
-The dances being taught

8. Click the "Save" button

  53.6 Send e-mail to owners of all house charges for the day
  In Mindbody
1. Reports -> Sales -> Sales -> Section 1 change for todays date -> Section 2 change “All payment methods” to “Account” -> Section 3 change “View” to Detail -> Hit Go!
2. E-mail the list of all the transactions that are listed.
3. E-mail owners including the following information:
a. name of customer
b. amount of charge
c. reason for charge
d. desk person working at the time of lesson/class
  54. Close Out Till/Transactions
  1. Open “Cash Tracker” (Link can be found Notes application or search for the email)

2. Count cash, enter final numbers into each coin or bill type in the document.

3. In Mindbody -> Reports -> Daily Closeout -> Download and print PDF of Daily Closeout Sheet

4. Enter in the amounts for Cash Out, Cash Sales, Deposits on the “Cash Tracker” document.
-Cash Out = any petty cash used for coach lunches, Restaurant Depot, or supplies.
-Cash Sales = Daily Closeout Sheet -> Cash amount made in MB.
-Deposit = Keep the following minimum amount of cash in till. Anything above these counts should be deposited. Adjust counts of lower sized bills if short larger bills (ie. If short one $20 bill, keep an extra four $5 bills in the till)

5. Attach all CC receipts to the top left corner of the Daily Closeout Sheet.
Attach Deposit money and any checks, and reimbursed receipts to the top of the Daily Closeout Sheet with a paperclip.

6. After Sunday night dances, include sign-in sheets with the deposit.

7. Drop packet into the top of safe in the drawer. Put keys and till in the bottom of the safe.
  55. Make Sure Back Door is Shut and Locked and Attach Security Bar to the Back Door
  Alarm will not set if back door is not fully shut.

3. Call the number listed at the top of the appointment window, hover over the little calendar icon to see all their appointments for the day and confirm the call as follows: "Hi, this is your name from Cinema Ballroom. I am calling to confirm your lesson tomorrow (or next Monday) month date at time o'clock with instructors first name. We look forward to seeing you then!"

If student is also scheduled for a coaching or more than one private lesson, make sure to list each of them.

4. Click on the "Mark Confirmed" checkbox in the window that pops up when you cilck on the appointment.

  Send an e-mail to City Pages with information about important events coming up the following week.

3. Call the number listed at the top of the appointment window, hover over the little calendar icon to see all their appointments for the day and confirm the call as follows: "Hi, this is your name from Cinema Ballroom. I am calling to confirm your lesson tomorrow (or next Monday) month date at time o'clock with instructors first name. We look forward to seeing you then!"

If student is also scheduled for a coaching or more than one private lesson, make sure to list each of them.

4. Click on the "Mark Confirmed" checkbox in the window that pops up when you cilck on the appointment.

5. Add notes to the appointment if you were not able to speak to them in person.

- If you left a voicemail, put in the notes "lvm your initials"

7. Drop packet into the top of safe in the drawer. Put keys and till in the bottom of the safe.
  55. Make Sure Back Door is Shut and Locked and Attach Security Bar to the Back Door
  Alarm will not set if back door is not fully shut.
  56. Turn Off Ceiling Fans
  Located in Janitor's Closet upstairs. Turn knob clockwise.
  56.5 Turn off open sign
  Pull on string at back of neon sign.
  57. Turn Off TV
  3 TVs are located:
1. By front desk
2. Across from bar/men’s restroom
3. Upper level in them middle of the balcony
  59. Lock Front Door
  Keys are connected to a bunch of fake flowers on a hook next to the printer behind the desk
  60. Turn Off All Lights
  1. Bathrooms (men's, women's, staff)
2. Main Ballroom
3. Upper Back Hallway
4. Staff Lounge
5. Desk
6. Lobby Lights
  60.5 Turn off main ballroom twinkle lights
  Controlled by white remote at front desk.
Press “All Off” button on the bottom left side of the remote.
  61. Set the Alarm
  Make sure front and back doors and closed/locked. Alarm will not set if doors are open.
